Purpose
This article explains how to configure Question Level Grouping (Grid View) in 360, when it should be used, and how it differs from traditional Item Level Grouping.
Overview
360 supports two methods for displaying item lists to field representatives:
- Item Level Grouping
- Question Level Grouping (Grid View)
Each option is designed for different reporting scenarios and provides a unique user experience for data collection.
Data Entry View Types
Item Level Grouping
Questions are grouped beneath each individual item, requiring reps to complete all applicable questions before moving to the next item.
Benefits
- Supports large item lists.
- Useful when reps are not required to report on every item.
- Administrators can define the minimum number of items that must be reported.
- Required item counts can range from:
- 0 = No minimum reporting requirement
- 999 = All items must be reported
Considerations
- Reps must answer all applicable questions for each item individually.
- Increased data entry may reduce efficiency when working with large item lists.
- For workflows that require faster reporting across many items, consider using Question Level Grouping (Grid View).
Question Level Grouping (Grid View)
Questions are presented once and applied across all selected items, allowing reps to move through the survey in a single workflow.
Benefits
- Reduces the number of user inputs required.
- Improves reporting efficiency for large item lists.
- Allows reps to answer questions for multiple items in a single flow.
- Supports dynamic branching logic.
Important
The following question types are not compatible with Question Level Grouping (Grid View):
- Multiple Select
- DeepLink
- Electronic Signature
Dynamic Branching Example
If a question asks "Is this product authorized?" and the rep selects No, that item can automatically be removed from subsequent questions where it no longer applies.
Setup: Configure the QCode for the No response to 0.
Process
1. Create the Survey Questions
Build all required questions within the action.
Navigate to the action and open the Edit Action screen.
Within the Data Entry Type section, change Normal Survey to Repeat Qs by Item.
Within the Data Entry View section, change Item Level Grouping to Question Level Grouping.
5. Save the Action
Additional Details
- Information as such UPC, Item Description, Brand & images are presented the same in either view.
- Survey responses appear the same in reporting, regardless of which view is used.
- Grid View is best suited for surveys containing large item lists and repetitive question sets.
- Any 360 role / job building access can change the Data Entry View setting.
- When copying actions across jobs, any Manual Imports will need to be uploaded again. If you are using Product Lists, that selection will copy job over job.
- In order to switch Data Entry Views, the job must be unlocked.
- Dynamic branching can significantly reduce unnecessary rep inputs by removing non-applicable items from future questions.
- Item Level Grouping may still be the preferred option when reps are expected to complete a detailed set of questions for each item individually.
- Grid View should be tested before deployment to ensure surveys function as expected.
- Multiple Select, DeepLink, and Electronic Signature questions are not supported in Grid View and should be avoided when configuring Question Level Grouping.
