Purpose
This article explains how to configure scanning functionality in 360, including available scanning types, Master SKU List requirements and action setup.
Before creating a scanning action:
- Barcode scanning must be enabled for the client by 360 Support.
- A Master SKU List must be imported before scanning can be used.
Available Scanning Types
Returns
Return List
Uses a customer-provided list of products that should be removed from the shelf.
When scanned, eligible items are identified as Include in Return.
Active List
Uses a customer-provided list of active products.
Any scanned product not found on the active list is identified as Include in Return.
Damaged/Defective
Allows reps to scan damaged or defective products and compile a return list.
Overstock
Allows reps to scan damaged or defective products and compile a return list.
Out of Stock
Standard Out of Stock Scanning
Captures products that are out of stock for customer reporting.
Out of Stock Scanning + Restock
Captures everything that is out of stock, and then the reps perform replenishment/restocking and scan items as they place them on the shelf.
This allows tracking of product packed out.
Example: Rep will scan OOS, then they will pack out product and scan what they packed out. At the end of the visit, reporting will show UPCs that are OOS plus a count per UPC of what was restocked/replenished.
General Scan
General Physical Inventory
Records all scanned products and compiles a complete inventory list.
Process
1. Submit a Scanning Setup Request
Submit a support ticket and provide:
- Client Name
- Required scanning type(s)
- Retailers scanning will be performed
- Shelf tag barcode length for each retailer
- User(s) who will maintain the Master SKU List (first name, last name, email address)
2. Import the Master SKU List
1. Navigate to the Project Mgmt dropdown and click Manage Product Lists.
2, Select the client.
3. Select the appropriate Product List.
4. Upload the import file.
Master SKU List Import
All scan programs must have a Master SKU list from the client that contains all Active and potentially Inactive/Discontinued products to be imported.
The import requires 5 data points (in order):
- Client - populated the scan data grouping value; not necessary the actual vendor name (Character Limit: 50)
- UPC - 12 digit UPC or 13 digit EAN
- DPCI - populated with the Item Number or Shelf Tag value for the retailer (Character Limit: 50)
- Item Description - actual product description (Character Limit: 2,000)
- Format - Miscellaneous information about the product, including brand (Character Limit: 50)
Additionally, the file may include these optional fields (in order):
- Active - Must include “TRUE” or “FALSE” for each product.
- Department
- Category
- Sub-Category
DCPI Length
The DCPI Length is a critical field to set when working with Shelf Tags.
When the rep scans a barcode, 360 does the following steps:
1. Checks the barcode value that was scanned in and compares it to the UPC field in the Product Master list and see if it matches
2. If a UPC was not found, 360 does a secondary search for that item in the DCPI field in the Product Master list
3. The DPCI has some additional logic built around it, because some retailers embed their store number into their Shelf Tag.
- Subtract the DPCILength from 11.
- The remaining number will be used as the Starting Position when reading the Shelf Tag.
- So, for example, if we scan the Shelf Tag of "12345678" and the DPCILength is set to 7.
- The system will calculate the Starting Position by doing 11 - 7 = 4.
- The sytem will then look at Shelf tag of "12345678" and start at position 4, so it will evaluate the shelf tag as "5678."
The system will search for "5678" in the DPCI field in the Product Master list.
4. If you want the scanner to evalue the whole DPCI as the Shelf Tag, then set the DPCILength = 11. This will tell the scanner to use the whole shelf tag.
Important:
- There is no validation of the headers, but they must exist on the import file.
- The file will be rejected if any of the required fields are not populated.
3. Configure the Scan Action
1. In the Edit Action screen, change the Data Entry Type from Normal Survey to Barcode Scanning.
2. Select the desired Scanning Type from the Barcode Scanning dropdown.
Additional Details
- If a Product List contains a UPC, but the latest import does not contain that UPC, the record will be marked as "Inactive."
- Scanning functionality must be enabled by 360 Support before scan actions can be configured or used.
- Products omitted from a future SKU List import will be marked as inactive in 360.
- There is no known limit to how often a Master SKU List can be updated; however, larger files may take longer to process.
- Business users are responsible for providing accurate client data and product lists; 360 Support is responsible for enabling and configuring the scanning functionality as requested.
